Subsea Logger / Privacy Policy

Privacy Policy

Version 1.0 · Effective date: 29 October 2026

In short: Subsea Logger keeps everything you enter on your own device. We do not have an account system, we do not collect, receive or store your information, and the app contains no advertising, analytics or tracking. Your information leaves your device only when you choose to send it, for example by saving or sending a PDF summary.

1. Who we are

Subsea Logger ("the app") is published by Geoffrey R Cole, trading as SubServ ("we", "us"). If you have any question about this policy or your information, contact us at support@subserv.org.

This policy explains what information the app handles, where it is kept, and the choices you have. It applies to the Subsea Logger app on Android and iOS and to the policy page at subserv.org/subsea-logger/privacy.

2. The information you enter

The app is a personal logbook. To use it you may choose to enter some or all of the following. None of it is required, and the app works with whatever you choose to record.

  • Personal details: name, date of birth, nationality, address and past addresses, photograph, email address, contact and WhatsApp numbers, next of kin, and your availability (date, location and position).
  • Identity and travel documents: passport numbers and expiry dates, driving licence number and expiry date, Seaman’s Discharge Book number, visa details, and optional copies (photos or PDFs) of a passport front page, driving licence, and the official front page of your Discharge Book.
  • Logbook records: ROV, Manned Submersible, Chamber Operator, Commercial Diving and Seaman’s Discharge Book entries, including vessels, clients, contractors, locations, dive details, hours, competence assessments and the names of supervisors, verifiers and other people who sign your entries.
  • Certificates: medical, safety and training certificates, with their details, expiry dates and attached copies. Medical certificates can include your fitness result, any restrictions and your examining doctor’s details. This is health information, and the app treats it with the same protection as everything else you enter.
  • Signatures: signatures drawn on screen by you or by people verifying your entries.

When you record another person’s name, signature or contact details (for example a supervisor or next of kin), please make sure they are happy for you to do so. That information stays on your device in the same way as your own.

3. Where your information is kept

Everything you enter, including attached files and signatures, is stored only in the app’s private storage on the device you are using. It is not sent to us or to any server. We cannot see, access, recover or delete it.

Your information is not automatically copied between your devices. Each phone or tablet keeps its own logbook.

Your device’s own backup service (for example iCloud Backup or Google device backup) may include the app’s data in backups of your device, depending on your device settings. These backups are made and held by Apple or Google under their own terms, not by us, and you can switch them on or off in your device settings.

4. What we collect

We do not collect any personal information through the app. In particular:

  • There is no sign-up, user account or login with us.
  • There is no advertising, analytics, crash reporting or tracking code in the app, and no information is sold or shared with third parties.
  • The app does not access your location, contacts or microphone.

If you email us, we will receive your email address and whatever you choose to send, and will use it only to reply to you. We keep that correspondence only as long as needed to deal with your question.

Apple and Google may collect information about app downloads and purchases through their stores under their own privacy policies.

5. Device permissions

  • Photos, files and camera: used only when you choose to attach a photo, certificate or document copy, or add your photograph. The app opens the picker; it does not browse your photos or files on its own.
  • Face ID or fingerprint: used only if you turn on biometric unlock in Security. Your fingerprint or face data never leaves your device’s secure hardware and is never available to the app; the device simply tells the app whether the check succeeded.

6. When your information leaves your device

Information leaves your device only when you take an action to send it. Once you send it, the recipient and any app or service you use to send it (for example your email app or WhatsApp) handle it under their own terms.

  • PDF summaries: when you download a logbook summary, the app creates a PDF containing the personal details shown at the top of the summary and the entries in that logbook. You choose where to save or send it.
  • Viewing and saving document copies: copies of your passport, driving licence and Discharge Book front page are only shown on your device, and only leave it if you save or send them yourself.
  • Send Email and Send Message buttons: these open your own email app or WhatsApp with the address or number filled in. Nothing is sent until you send it there.
  • Registry Office verification: if you ask to verify your Seaman’s Discharge Book, the app prepares an email for you. You review it, attach the front page copy and send it from your own email app.

This version of the app does not send information between app users. If we add sharing between users, cloud sync or other online features in a future version, they will be optional, and we will update this policy and ask for your agreement before they are used.

7. Keeping your information safe

The app keeps your information in its private storage, which other apps cannot read. Modern phones and tablets also encrypt their storage when a screen lock is set, so we recommend you use a passcode on your device.

You can also set an app password in Security, with optional Face ID or fingerprint unlock. The app then asks for it each time it opens and after five minutes in the background. The password is stored only as a secure one-way code. It cannot be recovered by us or by the app, so keep it somewhere safe.

8. How long information is kept

Your information stays on your device until you delete it. You can edit or delete any entry, certificate, file or past address, archive or permanently delete a whole logbook, or remove everything by uninstalling the app. Uninstalling deletes all data held by the app on that device and cannot be undone, so download any PDF summaries you want to keep first.

9. Your rights

Under UK data protection law (UK GDPR and the Data Protection Act 2018) and similar laws elsewhere, you have rights over your personal information, including to access, correct and delete it. Because your information is held only on your device and under your control, you can do all of these directly in the app. We do not hold any of your logbook information, so we are not able to provide, change or delete it for you.

If you have a concern about how your information is handled, please contact us first at support@subserv.org. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk, or to the data protection authority in your country.

10. Children

The app is intended for working professionals in the subsea industry and is not directed at anyone under 18.

11. Changes to this policy

If we change this policy, we will update the effective date above and publish the new version at subserv.org/subsea-logger/privacy. If a change affects how your information is handled, the app will show you the new policy and ask for your agreement before you continue.
